Office of the Registrar

The Office of the Registrar is located on the first floor of the Andrews Center on the Brunswick campus. Our office is responsible for maintaining student records for all current and previously enrolled students to include transfer and graduation evaluations. We are here to assist you with questions associated with registration, academic status, or progression towards your degree.

Requesting Transcripts

Parchment is the designated agent for processing and sending your official transcripts on behalf of the College of Coastal Georgia. The first time you place an order for a transcript, you will need to create a Parchment account and then proceed to placing your order. Once your account is set, you will simply have to log in and place an order for your transcript.

Forms

Changes to student records/registration can be requested through a variety of forms in the MYCCGA Portal under the Student Forms tab – Registrar folder. Please note that some forms are time sensitive, so please review academic calendar for posted deadlines.

Course Program of Study: CPoS

It is important for students to keep on track towards graduation. All enrolled courses must fall within the major requirements as reflected in DegreeWorks to meet funding guidelines. This process is called Course Program of Study, or CPoS. Please note a number of priority deadlines have been put in place to ensure change requests are completed prior to financial aid funding deadlines.

Course Substitutions should be requested by your advisor during early registration as soon as the student’s registration is complete. Processing for Major/Concentration changes or DegreeWorks Audit request received by the Office of the Registrar after the deadlines listed cannot be guaranteed in time for the CPoS assessment and potential financial aid disbursement.

Additional Information about Transcripts
  • Unofficial transcripts may be picked up at the Office of the Registrar during regular office hours Monday-Friday from 8 a.m. until 5 p.m. unless the campus is closed for a holiday or weather event.
  • Paper copies are more expensive, and mailed copies cannot be traced once they are in the mail, so we encourage all students to select electronic copies when possible.
  • Attachments can be added to your transcripts (for example, CAS tracking documents). Attachments will be reviewed by Registrar’s staff in case additional information is needed prior to completion of your request.
  • If you need assistance with your transcript order, the best first step is to log in to your Parchment account, then visit the Parchment Help Center where you can find answers to frequently asked questions and articles to support your needs. Assistance is also provided by the chat function with ParchieBot. Learner Support Representatives are available Monday-Friday from 8 a.m. until 8 p.m.
Student Records/Family Educational Rights and Privacy Act (FERPA)

Coastal Georgia follows the record retention guidelines in the USG Records Retention Manual, which covers student records under series 0472-06 (see also Series 0472-05 Academic Affairs, Series 0472-04 Human Resources, Series 0472-3 Finance).

Academic transcripts are permanent and are available for students to view, and copies may be requested for a nominal fee.

All other documents that make up students’ academic records (applications, transcripts from previous schools, testing records) are subject to being destroyed after the retention date has passed in accordance with the USG Records Retention Manual.

The Family Educational Rights and Privacy Act protects the privacy of student academic records and allows the student to determine what information should be confidential, and who should have access to that information. FERPA policy enforcement is handled by the Office of the Registrar.

Preferred Name

To better serve our students and faculty, we have created the option to add a Preferred First Name to specific College applications that are used by our students in the course of College business and education.
